Sourcing Furniture from China to the UK: Holiday Lets, Boutique Hotels & FF&E Projects
Start with a room schedule, use-specific compliance and a comparable delivered scope. Includes an editable GBP planning model and a UK project worksheet.
A UK project starts with the specification
You can source furniture from Foshan for a UK holiday let or boutique hotel remotely. Start with a room-by-room FF&E schedule, destination and use-specific fire requirements; approve samples, payment milestones and inspection before production. Compare the full imported and installed scope with a UK offer. The standard UK VAT rate is 20%; duty depends on the commodity code. A low factory price does not settle compliance, delivery or the opening date.
Official guidance checked 19 October 2026. This guide focuses on Great Britain. Northern Ireland has distinct customs and product-rule considerations. Budget and programme figures below are illustrations, not quotations or completed UK projects.
01 / Make the package comparable
How much does it cost to furnish a UK holiday let from China?
Price the exact room list, rather than treating a bedroom count as a specification. A two-bedroom cottage with flat-pack wardrobes and dining chairs is a different purchase from one with fitted joinery, upholstered beds, stone tops and outdoor seating. A per-key hotel quote also needs an inclusion list: bed, mattress, two bedside tables, desk, chair, wardrobe or rail, luggage rack and any loose seating. Lighting, mirrors, curtains, bedding and installation can sit outside that package.
| Package group | Assumed allowance | Specify before pricing |
|---|---|---|
| Two bedrooms | 4,000 | Actual bed/mattress sizes, storage, desks and bedside quantities |
| غرفة الجلوس | 3,000 | Sofa construction, seating dimensions and finish references |
| Dining furniture | 1,500 | Table size, chair count, materials and use |
| Other selected items | 1,500 | List every included item; do not assume lighting or textiles |
| Model goods subtotal | 10,000 | Freight, testing, tax, services and installation are separate |
At an assumed planning exchange rate of USD 1 = GBP 0.80, that goods subtotal is GBP 8,000. This is an allocation exercise, not evidence of a typical cottage price, a bank rate or the customs exchange rate. Ask the supplier to confirm the named Incoterms rule and place: an EXW factory offer and a FOB port offer do not contain the same origin work.
Editable planning model
What changes between the USD offer and the GBP import budget?
All starting inputs are assumptions. Enter confirmed, non-overlapping values for your own comparison. Blank or unknown charges cannot be treated as free.
Simplified model: customs value = converted goods + border freight/insurance; VAT base also includes duty and the entered incidentals. The 2% duty is an assumption, not an assigned tariff. Other valuation adjustments, service fees, testing, unentered delivery and installation remain outside the total. Postponed VAT accounting changes timing, not this model’s tax calculation.
For a UK comparison, align quantities, materials, durability evidence, delivery level, warranty remedy, installation and tax treatment. Include management time and spare-stock needs. No verified 35–55% saving or universal minimum order value is asserted: a small top-up, urgent opening or unusually costly compliance programme can favour a local supplier. Download the UK project comparison worksheet and replace the model with accepted offers.
02 / Keep the approvals visible
How does a remote holiday-let or hotel order work?
- Prepare the brief. Send plans, room quantities, millimetre dimensions, access restrictions, reference images, budget currency and required handover date.
- Build one item schedule. Assign item codes, quantities, material/finish requirements, packed-size requests and exclusions. Ask for a dated quote programme, rather than assuming a response guarantee.
- Review drawings and samples. Name who approves comfort, finish, construction and each change. Price sample shipping, shop drawings and a mock-up room separately.
- Accept the commercial records. Identify the seller, authorised payment route, deposit, inspection access, balance trigger and goods remedy before transferring funds.
- Release production. Count the factory programme from the agreed design/material/deposit release; record late approvals and supplier exceptions.
- Inspect and correct. Obtain findings against the accepted scope, rework evidence and any reinspection. Record the release owner and unresolved exceptions.
- التجميع والشحن. Reconcile cartons, hardware, labels, packing and documents across suppliers. Confirm the actual booking and cargo-ready cut-off.
- Clear, receive and install. The appointed importer/broker and delivery team handle their agreed roles; inspect arrival condition and preserve claim evidence.
You need not travel for every approval. Live workshop video, physical references and independent checks can support a remote project, but do not substitute a video for a material test. The floor-plan-to-delivery guide explains the records, and the payment checklist separates deposit percentages from release conditions.
03 / Choose capability for the item
How do I select a Chinese supplier for a UK boutique-hotel project?
A showroom display establishes what is shown; it does not establish batch capability. Verify the Chinese contracting identity and the production address for the items you are ordering. Ask where frame making, upholstery, finishing and assembly occur, including subcontracted work. A maker of one category may buy other products from another factory.
- Request comparable hotel or repeat-use references with permission to check them; separate supplied items from project-wide claims.
- Require dimensioned shop drawings, finish references and revision control tied to each item code.
- Agree construction and performance requirements appropriate to the intended use, with relevant model-specific test evidence.
- Check that the upholstery/filling combination can be made and tested to the required specification.
- Agree access for the appointed inspector and the process for corrections before release.
- Identify the legal seller, sample costs, MOQ, payment triggers, spares and remedy costs.
Lecong showroom visits can help physical selection; relevant workshop visits must be arranged separately. Avoid selecting by a postcode, ISO certificate or a claimed factory count alone. Use the agent, trader and factory responsibility comparison to establish who actually accepts the goods obligation. A 30/70 offer is a commercial term to negotiate, not proof of hotel competence.

04 / Work back from handover
How far ahead of opening should I place the order?
| منصة | Planning allowance | Release record |
|---|---|---|
| Brief and comparable offers | 1–2 | Item schedule and exclusions |
| Drawings / samples | 2–4 | Approved references |
| Manufacturing | 6–10 | Supplier-confirmed slot |
| QC, correction and consolidation | 1–2 | Findings and release |
| Ocean planning allowance | 5–8 | Actual booking, routing and ETA |
| Entry and local handover | 1–2 | Clearance and delivery appointments |
| Separate project buffer | 2 | Opening contingency |
| Sequential model total | 18–30 | Illustration, not a delivery promise |
Overlap may shorten a programme; failed tests, revisions, routing changes or missed consolidation dates may lengthen it. Request actual ETD/ETA and cut-offs for Felixstowe, Southampton or London Gateway and the onward postcode. Check each factory’s holiday closure and restart plan. An advertised ocean transit is not the time from first enquiry to furnished rooms.
Separate building readiness, site measurements, lift/stair access and installers’ availability from vessel arrival. For phased hotels, identify the first rooms that must be operational and what can be replenished locally if a later batch misses the planned sailing.
05 / Price the importing route
What duty, VAT and documents do UK furniture imports require?
استخدم التعريفة التجارية في UK for the specific material, product, origin and import date. Seats, furniture, mattresses and lighting can have different codes. Chapter 94 is a starting family, not a duty rate. Arrange the appropriate GB EORI for Great Britain; confirm the distinct route for Northern Ireland.
ال standard VAT rate is 20%. HMRC’s import VAT valuation guidance adds duty and relevant incidental expenses to customs value. Avoid counting the same freight twice. Eligible VAT-registered importers may use postponed VAT accounting; recovery remains subject to normal rules and the business’s use of the goods.
| سِجِلّ | Purpose / likely provider |
|---|---|
| الفاتورة التجارية | Seller’s item/value/party record; align with declaration |
| قائمة التعبئة | Supplier/packer’s quantities, carton IDs, weights and packed dimensions |
| B/L or sea waybill | Carrier/forwarder transport and release arrangements |
| Customs entry and tax records | Importer / appointed broker; retain the appropriate VAT evidence |
| Origin, wood-pack and product records | Only those required by the actual goods, origin and packing; relevant issuer/laboratory |
| Test and traceability file | Relevant supplier/lab evidence tied to the item and specified upholstery construction |
A generic certificate of conformity, CE badge or “fumigation certificate” does not establish compliance for every furniture shipment. Define exporter, importer, declarant, insurance and delivery scope. Ask a delivered-price provider whose name appears on the entry and how tax records are supplied.
06 / Set the use before selecting the fabric
What fire-safety evidence do UK holiday lets and hotels need?
Do not use one blanket “UK hotel certificate”. For small paying guest accommodation within its scope, the England fire-safety guide says furniture and furnishings should comply with the amended Furniture and Furnishings (Fire) (Safety) Regulations. Larger hotels, other jurisdictions and different spaces require the applicable fire-risk and product review.
ال 2025 amendment guidance removed the display/swing-label requirement from 30 October 2025; permanent-label obligations remain. Ask for the relevant evidence and traceability, rather than a photograph of any label.
BS 5852 ignition-source testing and BS 7177 mattress specifications can form part of a project requirement. “Crib 5” alone does not identify the entire product’s construction or make every hotel space compliant. Have the responsible project adviser specify the actual end use, required test method/severity, component combination and acceptance evidence before pricing. A fabric-only report may not cover the assembled seat.
Map model, filling, cover, barrier if used, laboratory report, manufacturing batch and label to the order. Have the laboratory quote the actual test programme, sample submission, possible retest and lead time; no universal test fee or upholstery surcharge is asserted. The furniture fire-safety guide provides additional questions to raise.
07 / Count cartons, not rooms
Can a small holiday let mix factories into one container?
Several suppliers can be consolidated if warehouse receiving, cut-offs, inspection, packing and document responsibilities are agreed. Consolidation does not remove each maker’s MOQ. A named sofa maker, Cozylife, publishes one-set options; that does not establish a one-room hotel minimum or a Source Foshan policy.
Maersk lists nominal dry-container capacities around 33.2 m³ for a 20 ft, 67.7 m³ for a 40 ft and 76.4 m³ for a 40 HQ. Furniture loading depends on actual cartons, door clearance, stacking and restraint. As a simple layout assumption, 80% of a 76.4 m³ box is 61.12 m³: if a hypothetical bedroom kit is 5 m³ packed, volume alone suggests 12 kits, before a loading plan. Neither the 80% nor 5 m³ is a measured project average.
For a partial order, compare complete LCL and FCL scopes using the LCL, full-container and air-freight decision guide. Do not buy unwanted goods merely to make a container appear full. Ask for warehouse receiving/storage rates, free time if offered, and the rule when one supplier is late.

08 / Request an accepted scope
What should Source Foshan’s proposal include?
استخدم خدمة توريد الأثاث أو لتوريد المنزل الكامل as the starting point for an item-specific proposal. Ask which outputs cover sourcing, samples, production follow-up, inspection, consolidation, booking and claim assistance; name the goods seller and destination providers.
Obtain the actual fee structure, calculation base, minimums and third-party extras in writing. Do not assume a flat fee, percentage, free design, payment custody, free storage or included UK installation. Price testing, freight, insurance, duty/VAT, broker work and delivery separately where excluded. The accepted commercial offer determines the project.
For arrival damage or a wrong item, preserve carton labels, original packing, condition photos and unpacking records; notify the relevant seller, forwarder or insurer under its actual deadline. Agree parts/remake cost and transport responsibility. Claim assistance is different from a guarantee to pay for every replacement.
UK furniture sourcing questions
Can I buy a complete boutique-hotel bedroom package?
Yes, request a defined per-key schedule with quantities, finishes, dimensions and compliance evidence. Identify what is excluded, including lighting, mattresses, textiles and installation. No verified universal per-key price is offered here.
هل يتوجب علي زيارة Foshan؟
A remote order can use drawings, physical samples, video and appointed inspection. If visiting, shortlist suppliers and decisions first; agree later production/QC ownership after you leave.
Is China always cheaper than a UK contract supplier?
No. Compare the same specification and full delivered/installed scope, including testing, tax treatment, time and remedy. Small urgent replacements can favour local supply.
What minimum order makes importing worthwhile?
Use actual packed volume and comparable LCL/FCL totals. There is no verified universal USD 8,000 threshold, and consolidation does not cancel factory MOQs.
Does a BS 5852 fabric report prove a finished sofa is suitable?
It may not. Check the report’s tested construction, components and ignition source against the actual item and project requirement. Ask the responsible adviser/lab about gaps.
Can a factory match my designer’s drawings?
Request itemised technical review, shop drawings and approved physical references. Confirm samples, tolerances, testing and charges before production; own drawings and authorised references are preferable.
Can I reclaim import VAT for a holiday let?
That depends on VAT registration, use and normal recovery rules. Postponed accounting is not an exemption. Ask your adviser to confirm the specific business’s position and required records.
When should I order before opening?
The sequential example above totals 18–30 weeks including its buffer. Replace every allowance with accepted factory, test and shipping dates, then align with site readiness and installation.
