Buying Furniture from China: Deposit Terms, Scam Red Flags and How to Protect Your Money
Compare deposit and balance triggers, verify the payment route and connect inspection to release. Includes an editable deposit calculator and a nine-step prepayment checklist.
Before the deposit
A 30% deposit and 70% balance is one published furniture-supplier arrangement, not a universal rule. The balance may be due before delivery, rather than against a bill-of-lading copy. Before buying furniture from China, agree the legal seller, payment route, approved specification, inspection release and claim procedure. Verify changed bank instructions independently. No payment method makes an undocumented order safe.
Supplier and platform pages checked 17 October 2026. Dollar examples are illustrations, not offers, customer transactions or recovery forecasts.
01 / Separate the percentage from the trigger
How much deposit do Chinese furniture suppliers ask for upfront?
Ask the actual supplier to price its payment schedule. Cozylife’s sofa FAQ publishes 30% down and the balance before delivery; it states a 50% deposit for a one-set order. Those are named manufacturer declarations. They do not establish a market-wide average, or prove that every custom hotel order needs 50%.
The difference between “after inspection”, “before loading” and “against a copy of B/L” matters more than the shorthand 30/70. A bill of lading is issued for the carriage; waiting for it is a different credit arrangement from paying before the goods leave the factory. Do not book a shipment on the assumption that a supplier has accepted it.
| Goods subtotal | Deposit assumption | الإيداع | Remaining goods balance |
|---|---|---|---|
| 12,000 | 30% | 3,600 | 8,400 |
| 30,000 | 30% | 9,000 | 21,000 |
| 30,000 | 50% | 15,000 | 15,000 |
A larger deposit increases the amount paid before the later release condition. It does not, by itself, establish fraud. Conversely, a low deposit is not proof of a good supplier. Ask what materials, samples or tooling the advance funds, when it becomes non-refundable and what happens if the approved design cannot be made.
Price sample development, tooling and testing separately. The same manufacturer lists an indicative sofa-model opening-mould charge around USD 1,100, subject to reconfirmation. That is one sofa example, not a universal sample-price range. Record ownership, storage, reuse rights and any credit against a bulk order. Obtain the bank’s actual transfer, intermediary and currency-conversion charges.
Editable planning tool
What is paid now, and what remains?
Enter the goods subtotal and proposed deposit. This calculates payment amounts only; it does not assess the supplier or approve a transfer.
Bank fees, exchange differences, samples, freight, tax and services are excluded. Confirm the milestone in the seller’s accepted contract; this tool cannot amend it.
02 / Choose the controls, not just the channel
Which payment methods help, and which requests are red flags?
| طريقة | What to establish | Remaining work |
|---|---|---|
| T/T bank transfer | Verified beneficiary, currency, reference and staged due dates | No automatic product-quality remedy from the transfer itself |
| Alibaba Trade Assurance | Eligible online order and official payment instructions | Specific terms, evidence, deadlines and remedy procedure |
| Letter of credit | Bank-approved documentary conditions and fees | Product specification, independent inspection and workable documents |
| Card or online wallet | Whether the seller and order support it; commercial-purchase terms | Issuer/provider limits, charges and dispute rules |
Alibaba’s official overview describes order and payment protection, including product-related issues. A bank transfer can be part of a protected order when made through the platform’s official instructions; an unrelated off-platform transfer is different. Put dimensions, materials, finish references, packing and shipment commitments into the online order and retain the supporting files.
The current money-back page states 30-day claims, with 60 days for Enterprise and Enterprise Pro buyers. Check the exact order’s deadline. Its local Easy Return offer has separate eligibility, including an order-value condition below USD 3,000 on that page. Do not assume a full furniture container qualifies for a free local return. Claim eligibility is not a guarantee of a particular decision or resolution time.
For an L/C, have both banks and the seller settle the documentary wording before issue. The U.S. International Trade Administration explains the documentation and bank-fee burden; there is no universal USD 50,000 threshold. ICC Academy’s explanation makes the distinction clear: banks examine the stipulated documents, rather than testing the furniture. An inspection certificate must be an agreed, workable documentary requirement if it is to be part of that payment mechanism.
Pause before paying if…
The beneficiary changes without an independently verified explanation; a seller demands secrecy or immediate full payment for a discount; the order omits measurable specifications; or inspection access is refused. A personal account or unexplained third-party recipient needs resolution before a commercial transfer. A legitimate export agent, group company or platform collection account may differ from the factory name—but its role, authority and payment-discharge effect must be documented, rather than assumed.
For account-change requests, use a phone number or other channel established before the new message. The FBI/IC3 business email compromise guidance recommends independently verifying account changes. A correct-looking email signature or video call alone does not establish ownership of a bank account.
03 / A practical prepayment sequence
How do I avoid scams when buying furniture from China? Nine checks
- Identify the seller. Obtain its registered Chinese name, business licence and unified social credit code. Record the entity on the PO, not just the showroom brand.
- Check the registration. استخدم National Enterprise Credit Information Publicity System, also linked through SAMR’s official query portal. Check status, address and business scope. Registration is not proof of product quality or solvency.
- Map the commercial roles. Identify manufacturer, reseller, agent, exporter and recipient of funds. Explain every difference in writing. See the agent, trader and factory comparison.
- Verify production capability. Request a live, item-specific workshop walk-through and an independently arranged visit when warranted. Check outsourced operations and the proposed production address.
- Verify payment instructions. Match the contracting entity and authorised beneficiary route. Reconfirm changes using an established independent contact before issuing the transfer.
- Freeze the order. Attach the item schedule, approved sample/drawings, currency, exclusions, dates, payment milestones and remedy procedure.
- Limit the first exposure. Use a sample, pilot batch or staged release where workable. Choose the amount from what your project can tolerate losing or replacing; there is no universally safe first-order ceiling.
- Arrange inspection and correction. Agree inspector access, checks, reporting, rework and reinspection before the relevant balance falls due.
- Record the release decision. Reconcile the inspection outcome, quantities, packing and required shipment documents against the accepted payment trigger. Do not unilaterally change an already-due balance to “after B/L”.
Some checks take one desk session; a visit, bank confirmation, test or corrective action may take longer. Make them gates in the programme instead of promising that an entire supplier can be verified in 24 or 48 hours. The complete Foshan buying process shows where approvals, QC and logistics fit.
04 / A showroom is one piece of evidence
How do I verify a Foshan furniture factory before paying?
A showroom visit can establish what is displayed; it cannot establish where your order will be made. Ask to see the production process relevant to the SKU: frame construction and upholstery for a sofa, or cutting, edging and finishing for casegoods. Walk from the entrance identification to the workshop and current work, and ask about subcontracting.
Reconcile the registered address with the actual production site. A different address is not automatically fraud—a company may have an office and a separate factory—but obtain the relationship and confirm access. A business licence with manufacturing in its scope, an export document or a VAT invoice does not independently prove that every item is produced there.
ال Chinese tax authority describes the unified social credit code as 18 characters. Use the exact Chinese identity for your checks. If an exporter handles the shipment, confirm its role; China Customs’ official portal includes enterprise-information and registration services. Have someone able to read the records resolve ambiguities rather than relying on an English trading name.
Ask a local verifier to quote the specific address, categories, visit scope and deliverables. Useful evidence includes entrance/address, relevant equipment, current production, storage, subcontractors, capacity discussion and unresolved questions. Agree the report date and limitations. No generic photo count or “factory verified” badge guarantees future performance.

05 / Make the promise measurable
Which documents and contract clauses protect the order?
| سِجِلّ | What it should establish |
|---|---|
| PI + accepted PO / sales contract | Seller, item schedule, prices, currency, trade term, approvals, dates and payment triggers |
| Reference set and change log | Dimensions, substrate/frame, upholstery, hardware, finish code and approved deviations |
| Inspection report and release | What was checked, findings, corrections, outstanding exceptions and release authority |
| Invoice + packing list | Goods/value, SKU quantities, carton IDs, weights and packed volume |
| Transport and insurance records | Parties, route, release method, cover, exclusions and claim contacts |
| Origin / compliance / wood-packaging records | Only those required for the actual products, packing and importing market |
Do not request a generic CE, CARB or fumigation certificate as if it covers every furniture item and country. Identify the product, material and destination first, then agree the applicable test/document with the importer and relevant specialist. Freight terms, cargo insurance, warranty and payment conditions address different responsibilities.
Illustrative milestone wording to discuss
“The agreed goods balance becomes due after the buyer receives and accepts the inspection report against the attached specification, listed corrective actions are closed, and the agreed packing and quantity records are supplied, before loading.”
This is a discussion example, not an executed clause. Add who inspects, who accepts, the response period, treatment of minor exceptions, reinspection cost and the actual due date. A different B/L-based milestone needs the seller’s express acceptance. Have the parties’ adviser settle governing law, dispute procedure, cancellation, delay remedies and enforceability.
Download the payment-release checklist CSV. It is a blank planning aid, not a bank instruction, supplier approval or signed contract.
06 / A real supplier can still deliver the wrong furniture
What can go wrong without it being a scam?
A wrong mattress dimension, substituted hinge, inconsistent fabric batch, missing fittings or weak packing can create a serious loss even when a real factory shipped the goods. Agree measurable acceptance criteria and a signed reference. Record dimensions in millimetres and mattress-market standards explicitly; do not order “King” without its actual size.
Inspection scope should cover the agreed materials where verifiable, dimensions, finish, assembly/function, stability, upholstery, hardware, accessories, labels and packing. AQL is a sampling approach, not permission to inspect 2.5% of an order or a durability certificate. Use the illustrative inspection report and blank checklist to organise the format, then obtain the real findings for your lot.
As a named price reference, V-Trust publishes USD 268 per man-day for its during-production service in major Asian manufacturing clusters. Reconfirm location, scope and total days. This is not a quote for a final furniture inspection, lab test, loading check or Source Foshan service. Complex assemblies or several factories can require more work.
Specify protection by item and reconcile carton labels and hardware before sealing. A loading record should identify the shipment, container, seal and quantities; it does not prove every inner item passed every test. At destination, record unopened cartons, labels, damage and unpacking. Notify the relevant seller, forwarder or insurer promptly under the actual deadline, and preserve goods/packing until instructions are agreed.

07 / Coordination is a defined service
Does a Foshan sourcing agent change the risk or payment route?
An agent can coordinate supplier screening, a comparable specification, follow-up, inspection and consolidation if those tasks are in its agreement. It does not automatically become the seller, insurer, escrow provider or guarantor. Confirm whether you pay factories directly, an authorised collection agent or a reseller, and which party owes a refund or replacement.
Request the fee base, minimum/fixed charges, included visits, inspection days, storage and third-party costs in writing. Ask whether supplier rebates, referral income or resale margins exist and how they are disclosed. Do not treat an assumed 5–10% fee, “no markup” statement or a factory-count claim as Source Foshan policy without the accepted offer. Our خدمة توريد الأثاث is the starting point for agreeing the work.
For a multi-factory order, keep a payment ledger per legal seller and connect it to each release. A single project coordinator does not, by itself, create one sales contract. Discuss the exact brief and commercial structure before sending funds.
08 / Act on the evidence you have
I paid a deposit and the supplier went silent. What can I do?
- Preserve the records. Save the accepted order, messages, payment confirmation, beneficiary instructions, promised dates and inspection evidence. Keep original files and timestamps.
- Contact your bank immediately if fraud is suspected. Ask its fraud team about recall/reversal and the next information required. IC3 recommends prompt contact with the originating institution; a recall request is not a guaranteed recovery.
- Use the order’s platform process. For an eligible Alibaba order, open the refund/dispute route within the applicable deadline and retain the case number. Do not rely on a salesperson’s promise to extend it.
- Establish the supplier’s status. Try the independently verified company contact and request a written explanation and dated remedy. An authorised local visit can establish what is happening; it cannot force repayment.
- Choose the relevant escalation. Report suspected crime to the appropriate authorities; get destination/China-qualified advice for a commercial dispute. Ask about jurisdiction, evidence, likely fees and realistic enforcement before committing more money.
A delayed production order and a fraudulent beneficiary can require different responses. There is no verified universal 72-hour recovery guarantee, success percentage, lawyer-fee range or claim-value threshold in this guide. Be wary of anyone demanding a new advance fee while guaranteeing to recover the original transfer.
Practical questions
China furniture payment FAQ
Is 100% upfront ever acceptable for furniture from China?
A supplier may require full payment for a sample or stock item. Decide from the order value, verified seller and actual protection, rather than a universal USD 500 cut-off. For a substantial new custom order, propose staged exposure and an inspection release; full advance leaves no later unpaid goods balance.
What is the MOQ for a Foshan furniture factory?
It depends on model, finish and customisation. Cozylife publishes one-set sofa options with different custom conditions; that is not every factory’s policy. See the single-apartment MOQ examples. Consolidation does not cancel a maker’s manufacturing minimum.
Is Trade Assurance enough for a full container of furniture?
It can provide a contractual dispute route for an eligible order, but it does not replace specifications, inspection or insurance. Check the exact covered order, payment route and deadline. Do not assume free local return of a container or guaranteed recovery of every consequential cost.
How long does furniture take from deposit to delivery?
Get supplier production slots counted from approvals and the agreed deposit, then add inspection/rework, consolidation, sailing, clearance and delivery. The multi-unit planning example totals 13–25 sequential weeks under stated assumptions; it is not a delivery guarantee for your order.
Should I use an L/C or T/T?
Ask the seller and banks to compare staged T/T and a workable documentary credit, including fees and discrepancy handling. Order size alone does not decide it. An L/C does not physically check materials, dimensions or finish.
How can I tell a factory from a trading company?
Check registered identity, actual workshop and item-specific capability, then name any subcontractor or exporter in the commercial records. A trading company is not inherently fraudulent, and a factory label is not a guarantee.
Can I inspect before paying the balance?
Yes, if the seller accepts that milestone and access arrangement. Define the inspector, criteria, rework and release procedure before the deposit. An inspection after a balance already became contractually due is a different arrangement.
What is a sensible payment approach for a small first-time buyer?
Use a verified seller and authorised payment route, an itemised order and exposure you can tolerate. Compare an eligible platform order, sample or staged purchase. Keep evidence, specify the remedy and verify every beneficiary change independently.
خطوتك التالية
Discuss the order before the next payment.
Share the destination, goods category, order stage and proposed payment milestones. Redact account numbers, identity documents and transfer receipts; agree a separate review channel if needed.
