Agree sample costs, inspection scope and release authority before ordering.
You can source furniture from China remotely by combining live workshop calls, physical samples and written approvals tied to each item. The useful output is a record you can review: the chosen specification, what was checked, any open finding and who approved the next step.
See the report before you place an order. Наш Пример отчета об осмотре мебели follows one sideboard from approved dimensions to a failed door-gap check, correction, reinspection and a hold decision. It is a clearly labelled filling example, with a free blank PDF and HTML form.
For the complete commercial sequence around these approval calls, follow our seven-step Foshan buying process: brief, quotation, samples, order and deposit, production/QC, consolidation, then shipping and receipt.
Yes, when the work a visit would achieve is covered in another way. A live call can show the workshop, your piece and a measurement you ask to repeat. A material sample can help you judge finish and feel at home. A written specification keeps those choices attached to the order.
Approving a showroom photo alone leaves important details open. Record dimensions, materials, finish codes, hardware, quantities and the inspection plan before production. Our guide to furniture sourcing agents explains how to divide responsibilities between the buyer, sourcing team and supplier.
For a real client journey, see the Australian home selected remotely with family checks in China. The client shortlisted furniture online, family members checked pieces in person, and the confirmed order was consolidated for delivery. The case describes that selection and delivery experience; the six approval points below are a suggested process for agreeing your own order.
Share a short agenda before the call and ask the supplier to have your item, drawing, samples and measuring tools ready. If you want to record the call, agree that with the participants first.
- Identify the supplier and item. Confirm the company, workshop and item code. Show the current drawing revision and the piece you are discussing.
- View the relevant production stage. For a sofa, request the frame and supports before upholstery, then foam labels, seams, the finished profile and moving parts. For cabinetry, request panel construction, edges, hardware, assembly and critical dimensions.
- Ask for specific checks. Repeat a measurement with both reference points visible, show the underside or back, and operate doors, drawers or mechanisms through their full travel.
- Compare references. Put the approved sample and the production material in the same view. Mark any uncertainty for physical review or a separate test.
- Close with an action list. Record item code, finding, required file, responsible person and due date. Send the written summary for confirmation.
A prerecorded tour can introduce a factory, but it does not establish the condition of your order. Keep the relevant photos or video clips with the approved specification rather than relying on a chat history alone.
- Visible finishes: fabric, leather, timber or veneer finish, metal finish and stone where applicable. Label each with supplier, item code, finish code and revision.
- Upholstery: agree foam and filling information and, where useful, a physical sample. Compare seat height, depth and back angle with furniture you already find comfortable.
- Custom furniture: agree whether approval requires a sample, first completed piece or factory trial assembly, and which dimensions and details it must demonstrate.
- Retained references: identify who keeps each reference sample and how production will be compared with it. Approve substitutions in writing before use.
A prototype may still need changes. Record those changes and approve the revised version; do not use an earlier prototype photograph as approval of a later specification.

| Этап | Record to review | Decision to record |
|---|---|---|
| 1. Options | Comparable supplier quotations against the same item specification | Selected option, price scope and open questions |
| 2. Specification | Drawing revision, materials, finish codes, hardware, quantity and acceptance criteria | Approved specification; named approver and date |
| 3. Sample or first piece | Physical sample or agreed first-piece evidence, with dimensions and requested changes | Reference approved or changes required |
| 4. Production | Photos of agreed stages before details are concealed; change log and progress update | Stage accepted, query open or production held as agreed |
| 5. Inspection | Item-by-item measurements, defect log, correction and reinspection evidence | Items accepted or held; payment decision under the agreed terms |
| 6. Packing and shipment | Package condition, carton marks, quantities, packing list and loading records | Shipment release by the authorised person; remaining exceptions recorded |
Set the actual approval sequence, response times and authority in your order. The worked furniture report shows how stage five records a finding and its correction without treating an unfinished order as released.
For quote comparison, use one specification across suppliers. For a whole home, retain the same item codes as goods move from supplier records to the consolidated packing list.
| Элемент | Подтвердите письменно |
|---|---|
| Swatches and sample production | What is included, any sample charge, and whether a charge is credited against an order |
| Courier and return costs | Destination, delivery charges, any import charges and who keeps or returns the sample |
| Inspection visits | Who inspects, where, which items and checks are covered, and whether the fee includes repeat visits |
| Independent checks or laboratory tests | The appointed provider, agreed test scope, access, quoted cost and report recipient |
| Corrections and delays | Who pays under the order terms, how the schedule changes, and whether storage or a separate shipment is needed |
Factory self-checks, a sourcing team’s inspection and independent inspection are distinct. A factory’s statement that a product was tested should be followed by the relevant report identifying the product, test, date and intended requirements. Agree specialist testing separately where the order requires it.
The factory makes and corrects the goods; the appointed inspector records the agreed checks; the authorised buyer or project representative approves the specification and release. Agree who may instruct a hold and whether that decision also controls a payment milestone. A call or report alone does not change your payment terms.
Video cannot reproduce seat comfort, smell or exact colour. Lighting and screens change how a finish appears. Use physical samples and measurements, and consider a sample piece or an in-person visit when those decisions are important.
A camera also cannot establish concealed construction or laboratory performance. Request relevant production-stage evidence before covering or closing components, and arrange the technical assessment the product needs. Mark anything not checked rather than assuming it passed.
If a visit would help, plan it around sample and specification approval. The rest of the order can still use the same remote records.
Send your item list, drawings or reference images, destination and required timing. The team can propose supplier comparison, sample coordination, production updates, inspection and shipping coordination around that brief. Confirm the scope, update frequency, sample and inspection charges, and written approval stages before work begins.

Remote sourcing questions
Can a live factory call replace a physical sample?
It can support review of dimensions, construction and operation. Use a physical sample for finish and feel where needed; a screen is not an exact colour or comfort reference.
Do I need a sample for every item?
Agree the level of sampling with the supplier and team based on custom work, value, repeat quantity and the details you need to approve. Confirm any sample and courier costs first.
Can I use my own independent inspector?
Discuss this before ordering so supplier access, inspection timing, scope, fees and responsibility for follow-up are clear.
What happens when a remote inspection finds a defect?
Record the item and evidence, agree the action, repeat the affected checks after correction and retain both versions. The report example shows the full chain, including why unresolved checks keep an item on hold.
How often should production updates arrive?
Set an update schedule and the stages that require approval in the project scope. For details that will be concealed, ask for the record before the next production stage rather than waiting for a general update.
