Furniture MOQ in China: Service Minimums, Samples and Trial Orders
Confirm supplier quantity, service acceptance and complete delivery costs separately. Includes sample approval limits and an illustrative trial-order cost model.
Small furniture orders / Three separate acceptance decisions
A supplier’s furniture MOQ, a sourcing service’s minimum goods value and the economics of shipping a small order are different limits. Confirm all three before paying for samples or a trial run. Mixed orders can combine accepted purchases, but cannot turn one supplier’s chair quantity into another supplier’s sofa minimum. A paid sample helps evaluate a defined item; it does not establish that the later batch, export packing or delivered cost will be acceptable.

How is a sourcing service minimum different from a furniture MOQ?
| الحد | What it controls | What the buyer should obtain |
|---|---|---|
| Supplier MOQ | Accepted model, colour, size, material, carton multiple or production setup. | Exact SKU/specification, quantity, unit price, sample conditions and readiness date. |
| Service starting value | Whether the coordinator accepts the proposed work and on what fee basis. | Written scope, minimum/fixed/percentage charge, exclusions and payment milestones. |
| Shipment economics | Whether the complete delivery cost is sensible for the quantity. | Packed dimensions/weight and comparable origin-to-destination quotations. |
لدى Source Foshan، published sourcing policy states a USD 10,000 goods-order starting value and a separately shown 3–5% fee on an agreed calculation basis. Fixed-project, limited-scope and consolidation-only work follow the accepted quotation. A small supplier MOQ does not automatically qualify an order for the full sourcing service. Ask which engagement, if any, fits your list.
Likewise, reaching a service starting value does not compel a factory to make one custom piece or waive its material purchase minimum. Specify the legal seller and the operation making each item. A factory, showroom or reseller can quote a suitable small order if its actual offer meets the requirements; the business label alone does not establish acceptance or quality.
What minimum quantities do furniture suppliers actually publish?
COOC’s FAQ lists 3 pieces for regular models and 20–50 for custom models, but also contains a 40HQ rule and 5/10-piece mixing conditions. Obtain written clarification for the exact list. These are that supplier’s statements, not a China-wide MOQ or confirmation that Source Foshan can supply those quantities.
Ask whether each minimum applies per order, model, dimension, finish, fabric purchase or batch. A quantity that can be split across colours is different from the same number required in every colour. Ask what changes when you use existing frames, a standard cover, available hardware or a current production slot. Any lower minimum, setup charge, mixed-model allowance or sample credit should appear in the written offer.

ال visit record distinguishes viewing products from final measurements and orders. A sample displayed in a showroom can be a different size, cover or construction from the piece later quoted. Retain model and variant codes, rather than approving from a room photograph alone.
What can a paid furniture sample prove?
Define what the sample is meant to resolve: size and fit, finish reference, comfort, hardware operation, assembly or a specific test. Write the drawing revision, material codes, permitted differences and acceptance method into the sample order. A fabric swatch answers a different question from a finished chair, and a first piece answers a different question from a repeat lot.
| مرجع | Useful evidence | Still unresolved |
|---|---|---|
| Swatch / finish panel | The identified material, colour, texture or sheen under agreed comparison conditions. | Complete-product comfort, hidden construction, batch consistency or all destination requirements. |
| Prototype / first piece | The actual configuration and features inspected or tested. | Every later unit, unchanged material supply and an entire production lot’s acceptance. |
| Packed sample | Observed carton contents, assembly and protection for that piece. | A different shipment’s handling, insurability, final charges or damage-free delivery. |
Agree the sample, tooling, testing, courier and return/disposal costs; who keeps the approved reference; any credit trigger; and cancellation/refund terms. Paying a sample fee does not itself transfer design or mould ownership. If the approved piece is modified or shipped away, retain a controlled reference and an agreed method for checking production. Use the drawing and sample approval guide و sampling fee and ownership checklist to document those decisions.
Can stock pieces, one-off custom work and mixed trial orders share a shipment?
They can be considered together when every seller accepts its own order and the timing, packing and receiving arrangements work. For stock, identify the actual quantity, condition, reservation expiry and collection terms. For a one-off custom piece, obtain development and production acceptance before assuming the displayed model can be altered. For a repeat trial, define its variants, batch identity and the criteria that would justify a larger order.
Consolidation joins goods and records; it does not merge supplier contracts or manufacture a quantity discount. Keep seller, SKU, approved revision, carton and room/destination identifiers traceable. Agree what happens if one supplier is late or a sample fails. A partial shipment or extra storage is a new cost/schedule decision, not an automatic free solution. The sourcing and consolidation scope explains the receiving and approval handovers. Use the floor-plan-to-delivery process to connect the trial decision with the rest of the order.
Why can small-order freight and handling cost more than the furniture?
Collection, receiving, packing, minimum freight charges, destination handling and delivery can remain substantial even when the goods quantity is small. Get the complete, matched delivery scope and packed dimensions/weights. A port-to-port freight number cannot establish the final door-delivery bill. There is no universal CBM break-even or guaranteed cost share in this guide.
For arithmetic only, assume 10 pieces at USD 95 each, a USD 300 sample/development allowance, USD 250 origin/packing, USD 900 carriage and USD 350 destination handling/delivery. Entered goods are USD 950; entered transport/packing is USD 1,500; the entered scope totals USD 2,750، أو USD 275 per planned piece. This demonstrates one set of chosen inputs, not a real freight quote or evidence that shipping usually has that ratio.

What does the entered scope cost per planned piece?
Below the published USD 10,000 full-sourcing goods starting value; ask which scope, if any, can be accepted.
All defaults are assumptions. Changing quantity without changing the other inputs does not prove those charges remain fixed. Requote them. The sample is separate from production quantity and is not credited here. Duty/tax, sourcing services, insurance, tests, storage, assembly and all other unentered charges remain excluded, not free. A zero is your entered assumption, not proof an unquoted service has no charge.
At 40 planned pieces and the same other assumptions, the sum becomes USD 5,600, or USD 140 per piece. No supplier acceptance or unchanged freight tariff follows from that arithmetic. Compare the actual complete trial, a local purchase and any later repeat order using the ورقة عمل التكلفة الإجمالية الواصلة; verify the named delivery point, exclusions and quote validity.

When does a furniture trial order make sense?
- Define the purchase question. Name the intended use, target specification, quantity and uncertainty the sample or trial should resolve.
- Obtain acceptance. Confirm supplier MOQ and service scope independently; reconcile model/colour minimums and mixed-order conditions.
- Price the whole decision. Include sample, development, transport and destination work; leave unresolved costs identified and obtain quotes.
- Approve the reference. Record sample/drawing revision, differences, custody and relevant product evidence before production.
- Check and receive. Agree inspection coverage, findings, corrections, release authority, packing and arrival evidence.
- Evaluate before repeating. Compare delivered condition, actual cost, lead-time performance and customer/use feedback with the defined criteria.
Stop or revise the trial when the supplier will not define the specification, a required minimum remains unaffordable, a critical product requirement is unresolved, the service scope is not accepted, or the complete delivery cost defeats the purpose. A successful sample is a decision input, not a reason to skip the production and receiving checks. Keep unapproved changes and failed findings visible; agree the correction and reinspection before release.
Questions about furniture MOQs, samples and trial orders
Can I order just one sofa from a Foshan supplier?
Some suppliers accept a particular stock or production item in small quantities. Obtain written confirmation for its exact version. Supplier acceptance does not establish eligibility for the full sourcing service or economical international delivery.
Is a sourcing service minimum the same as a factory MOQ?
No. A service minimum controls the coordinator’s accepted engagement; a supplier MOQ controls its own model, finish, material or batch. Confirm both before making a purchase commitment.
Can several suppliers combine their minimum quantities?
Accepted orders can share a consolidation plan, but one supplier’s units do not satisfy another supplier’s minimum. Record each order, carton and responsibility separately.
Is a sample free if I place a larger order later?
Only if the accepted offer states the credit/refund trigger, qualifying quantity, deadline and included charges. Sample, tooling, testing and courier fees may follow different terms.
Does approving a sample guarantee the repeat batch?
No. Identify the approved reference and agreed differences, then check production and finished goods under the actual inspection plan. A sample cannot prove every later unit’s condition.
How small should a trial furniture order be?
Use the smallest supplier-accepted quantity that can resolve the intended decision at a sensible complete cost. There is no verified universal 30-piece or one-container rule for every product.
Should a small order use LCL rather than a full container?
Compare matched offers using actual packed volume, weight, handling and destination delivery. Minimum charges, protection and consolidation arrangements matter; a single universal CBM cutoff does not establish the cheaper option.
Who pays if the trial arrives damaged or wrong?
Preserve receiving, carton and item evidence and notify the relevant seller, carrier and insurer promptly under their separate terms. Agree cause, remedy, costs and timing rather than assuming a paid sample guarantees a refund or free freight.
