Procurement choices / Roles & responsibility
Foshan Sourcing Agent vs Trading Company vs Buying Direct on Alibaba: Which Is Safer for Furniture?
Compare who sells, who coordinates, who inspects and who owes the remedy. Includes a buying-route explorer, an illustrative cost worksheet and a three-day visit plan.
Choose a commercial structure
A Foshan sourcing agent, a trading company and a factory perform different roles; Alibaba is a marketplace through which any of them may sell. No label makes furniture procurement inherently safer or cheaper. For one verified product and a capable buying team, direct purchasing can work. For a mixed project, compare a disclosed coordination agreement with a reseller’s accepted sales contract. Name who sells, who inspects, who collects money and who owes the remedy.

01 / Separate a seller from a channel
Sourcing agent, trading company or factory: who does what?
Start with the party accepting your specification and payment obligations. A manufacturer can also buy in products it does not make. A sourcing business can act as an agent on one project and a reseller on another. An Alibaba storefront can belong to a factory or intermediary. Resolve the actual transaction before judging the company’s label.
| Вопрос | Напрямую с фабрики | Trading company / reseller | Закупочный агент | Alibaba order |
|---|---|---|---|---|
| Legal seller | The manufacturer named on the contract | The reseller named on the contract | Underlying supplier, unless the agent also sells | The seller identified in that online order |
| How you see the price | Manufacturer’s selling price | Reseller’s selling price | Agreed goods-price basis plus disclosed service charges | Seller’s quote plus applicable order/payment/shipping charges |
| Independent QC | Buyer can arrange it | Buyer can require it | Included or separately commissioned, as agreed | Can be written into the order and arranged |
| Mixed suppliers | Buyer/coordinator must connect them | Reseller may combine them | Agent may coordinate them | Platform use alone does not create a combined shipment |
| Claim contact | Contracting seller; others according to cause | Contracting reseller; others according to cause | Seller for goods remedy; agent for its agreed service obligations | Seller and eligible platform dispute route |
These are working definitions, not guarantees about every business. Ask for a responsibility schedule with named entities and acceptance: purchase, approval, production follow-up, inspection, warehouse receiving, shipment, import and installation. A freight shipper’s name alone does not identify who sold the goods or earned a margin.
Explore the arrangement
What would you need to put in writing?
Define the agency scope and the legal seller
Name the suppliers, fee base, payment authority, inspection scope, consolidation duties and claim assistance. Confirm whether the agent also becomes a seller; the label alone does not decide it.
This is a responsibility prompt, not a safety score, supplier endorsement or automatic recommendation.
For Source Foshan specifically, use the company facts, fee policy and buyer verification checklist to compare the disclosed legal identity, proposed payment responsibilities and order evidence. The checklist records documents received; it does not certify reliability or approve a payment.
02 / Protection depends on the order
Is a sourcing agent safer than buying furniture directly on Alibaba?
It depends on the actual controls. A capable buyer can use Alibaba, commission an independent factory visit and inspection, and manage its own shipment. An agent who does not define its work or disclose conflicts may add cost without resolving those gaps. Compare deliverables and accountability rather than assuming one channel has all the risk.
Alibaba’s current Trade Assurance overview describes a dispute/refund route for eligible orders, including product-related issues. It is inaccurate to say that quality problems can never be covered. The official ordering guide explains platform-designated payments and recommends including third-party inspection in the order. Confirm the actual order terms and current instructions.
Keep the item schedule, drawings, material/finish references, tests, shipping commitment and acceptable deviations attached to the transaction. Platform protection cannot make a vague description of “premium quality” measurable. Do not assume that an agent’s off-platform purchases, another seller’s cartons or the entire consolidated container fall within one protected online order.
Он money-back policy has eligibility and claim periods; inspect them before payment and again at delivery. Evidence, covered value and remedy matter. A platform order, independent QC and cargo insurance can address different risks; you can combine controls where the contracts allow it.
03 / Read the financial relationship
How is a Foshan sourcing agent different from a trading company?
A disclosed agency fee and a resale price are different commercial structures. In a genuine agency arrangement, define whose interests the agent represents and what authority it has. In a resale arrangement, the reseller is the goods seller and should accept the contractual obligations that go with that role. Neither structure automatically proves good incentives or bad faith.
Ask an agent what its percentage is applied to: goods only, FOB value, or a broader total. Check minimum charges, sample visits, inspection days, warehouse storage, design work, third-party payments and supplier commissions/rebates. If open-book sourcing is part of the offer, agree access to original supplier quotations and relevant payment records, with a change log.
A reseller may quote one delivered total and keep supplier buying prices confidential. Decide whether that convenience, product access and the seller’s contractual remedy justify the price. It need not disclose its margin unless agreed. Do not infer an actual profit percentage from two different specifications or assume every trader adds 15–30%.
Four questions before signing
Who is the seller for each line? Who is authorised to receive money? Can I appoint an independent inspector? If the furniture is wrong, which named entity owes the agreed remedy and which entity only helps coordinate the claim?
Different exporter or collection-account names can be legitimate, but document the relationships and payment authority. Verify changed payment instructions through an established independent contact, as the IC3 account-change guidance recommends. Use our detailed deposit, payment-route and prepayment checklist for that part of the decision.
04 / Compare the same basket
What does each route actually cost?
There is no verified universal commission or price ranking for these four routes. Get comparable dimensions, materials, quantities, packing, trade terms and service scope first. Then separate goods, coordination, inspection, origin costs, freight/insurance, import charges and final delivery. A factory price is not automatically a landed cost.
| Input | Direct purchase | Agency scenario | Reseller scenario | Direct + visit |
|---|---|---|---|---|
| Assumed goods offer | 30,000 | 30,000 | 33,000 | 30,000 |
| Assumed agency fee | Not included | 5% × 30,000 = 1,500 | Inside goods offer if any | Not included |
| Assumed inspection allowance | 600 | 600 | 600 | 600 |
| Assumed origin/logistics allowance | 900 | 900 | 900 | 900 |
| Assumed trip budget | Not modelled | Not modelled | Not modelled | 3,000 |
| Subtotal of the modelled lines | 31,500 | 33,000 | 34,500 | 34,500 |
| Freight, insurance, duty/tax, final delivery | To be quoted | To be quoted | To be quoted | To be quoted |
The 5% fee, USD 33,000 resale offer, USD 600 inspection, USD 900 origin allowance and USD 3,000 trip are editable assumptions, not Source Foshan charges, market surveys or current bookings. The model excludes the buyer’s time, additional coordination, bank/FX costs and any unlisted work. “Not included” does not mean that a service is unnecessary or free. Alibaba is a purchasing channel, so apply its actual seller quote and checkout charges to the relevant commercial model rather than inventing a fourth factory price.
Named provider rates can help frame an enquiry, but scope controls the total: V-Trust advertises USD 268 per man-day for its during-production inspection in major Asian manufacturing clusters. That does not establish the cost of your final inspection, laboratory tests or multiple-site programme. Ask for a dated, item-specific total.
Download the route-comparison worksheet CSV and replace every assumption with an accepted offer. Avoid double-counting QC or origin charges already included in another line. Name the location and Incoterms rule; confirm what a delivered quote includes and who can fulfil destination customs/tax obligations.
05 / Use the visit for decisions it can settle
Should I fly to Foshan or work with a sourcing company remotely?
A visit helps compare comfort, finish, construction details and physical samples. It does not replace later production follow-up, batch inspection or loading checks. A remote process can work with dimensioned plans, written selections, live video and an independently arranged inspection where needed. Choose from the work required and your team’s capability, not a claim that every buyer must travel.
| Day | Decision to make | Output to keep |
|---|---|---|
| 1 | Shortlisted showroom selection and physical finish comparison | Item/finish codes, dimensions, photos and open questions |
| 2 | Relevant workshop visits and sample/technical review | Entity/site identity, process evidence and approved changes |
| 3 | Comparable offers, responsibilities and milestone review | Decision log and named follow-up owners |
Send the room/item list before the trip. Group Lecong showroom appointments and suitable production visits by location; do not assume a showroom address is the factory. Agree interpreting, transport, hotel, flights and any visit fees separately. The USD 3,000 worksheet input is not an airfare or itinerary quote. Check entry eligibility with the relevant official authority for your passport and route.
After you return, someone still needs to track approvals, materials, manufacturing, findings and shipment documents. A hybrid arrangement can make sense: prepare remotely, visit for selection, then commission defined follow-up and release checks. See planning a Foshan sourcing visit и floor-plan-to-delivery process.

06 / The same controls apply to every route
What can go wrong, and who should catch it?
| Риск | Control and record | Owner to agree |
|---|---|---|
| Material or hardware substitution | Named specification, approved reference and accessible construction checks | Seller + inspector; buyer approves changes |
| Size mismatch | Millimetre dimensions, mattress size, access measurements and assembly drawing | Buyer/designer + seller before production |
| Finish or fabric batch mismatch | Physical master reference, batch identification and accepted variation | Seller + buyer/inspector |
| Missing destination compliance | Identify actual product/use/market rules and model-specific records | Importer + supplier + relevant test/advisory body |
| Suppliers miss one sailing | Model-level dates, warehouse cut-offs, storage and exception plan | Suppliers + appointed coordinator/forwarder |
| Packing damage or shortage | Item-specific protection, carton list, loading/receiving evidence and cover | Seller/packer + forwarder + receiver, as contracted |
An agent can perform or coordinate these tasks; an independent inspector can also be appointed for a direct or platform order. Do not turn an appearance sample into a durability or compliance certificate. Use the illustrative QC report format, then require actual findings and corrective-action closure for your goods.
Likewise, delivered photographs show the documented stage, not a damage-rate comparison between buying routes. No verified “with agent versus without agent” breakage percentage, remake cost or delay average is asserted here. For a repeated apartment programme, see multi-unit lead times, MOQ and container planning.

07 / Direct can be a sensible choice
When is buying direct on Alibaba or from a factory appropriate?
Consider it for a well-defined product, a verified repeat supplier or a sample programme when your team can own specification, payment checks, inspection, compliance and freight. A high order value does not automatically require an agent; a low value does not make a complex custom order easy. There is no universal USD 5,000 or one-container threshold.
Before going direct, ask yourself: can we verify the entity and item-specific capability, write measurable terms, appoint QC, reconcile carton/document records and manage a claim remotely? If some work is missing, price that work separately. A trader’s consolidated offer or a scoped agent service may be worth comparing even if your buying team retains the supplier relationships.
If the only attraction is a lower headline unit price, rebuild the full comparable budget first. Factory stock minimums, custom material runs, small-order surcharges and consolidation cut-offs may change the result. Shared shipping does not remove a supplier’s MOQ.
08 / Make the service reviewable
What should a Foshan sourcing proposal deliver, step by step?
- Brief and boundaries. Unit types, item schedule, drawings, destination, budget currency and required dates; record who is the importer and decision-maker.
- Supplier and role shortlist. Identify maker/reseller/exporter and capability evidence. Record what each company will actually supply.
- Comparable quotations. One specification and quantity basis, with exclusions, fee base, packing and estimated carton volume.
- Samples and contract. Approve drawings/references; accept the seller, payment route, milestones and remedy procedure.
- Production tracking. Obtain supplier dates counted from the agreed release, progress evidence and written exception decisions.
- Inspection and correction. Receive actual findings, resolve defects and record the authorised release.
- Consolidation and loading. Reconcile goods, carton IDs, accessories, packing, shipment instructions and loading evidence.
- Documents and receiving. Coordinate invoice, packing list and transport records; confirm destination delivery and the receiving/claim contact.
Request a dated programme for these outputs. A clear list may support an initial quote discussion in several working days, while bespoke design and testing need more time; neither is a fixed Source Foshan response promise. Production, rework and ocean time depend on actual suppliers and routes. The consolidation service explains the warehouse and shipment work to agree.
For Source Foshan, send the project details through the form below and ask for an accepted scope and commercial offer. Do not assume that a published generic fee, supplier count, MOQ or payment option is the term of your project. Practical questions
Foshan sourcing route FAQ
How much commission does a Foshan sourcing agent charge?
Ask for a written offer: percentage, fixed project fee and minimum charges are different structures. Define the calculation base and third-party extras. The 5% in this guide is an arithmetic assumption, not a market average or Source Foshan quotation.
Is Trade Assurance enough protection for a full container?
It can provide a dispute route for an eligible order, including relevant product issues. You still need measurable order terms, evidence, inspection and the actual claim deadline. Do not assume every supplier’s goods or a free container return is covered.
Can a three-day Foshan visit be useful?
Yes, with a prepared shortlist and appointments. Use it for physical selection, relevant factory review and decisions; agree who follows production and inspection after you leave. The itinerary above is illustrative and must be confirmed.
Do I pay the factory or the sourcing agent?
The accepted agreement determines the route. Confirm the goods seller, authorised beneficiary and whether the agent has collection/payment authority. Direct supplier payment, authorised agency collection and resale create different records; do not assume all are available for your project.
What minimum order makes an agent or sourcing trip worthwhile?
Compare the actual service/trip cost with the work and exposure in your project. Supplier MOQ, packed volume and coordination complexity matter. A monetary threshold alone cannot decide whether the service is useful.
How long does order-to-delivery take?
Build the programme from approvals, supplier production slots, QC/rework, consolidation, sailing and local delivery. The linked multi-unit example totals 13–25 sequential weeks under its assumptions; obtain actual dates for your products and destination.
How do I verify an Alibaba supplier is a factory?
Check its Chinese registered identity, relevant workshop, current processes and subcontracting; reconcile the seller and exporter roles. Business scope and platform badges do not by themselves prove that the specific furniture is made in-house.
Who pays if the furniture arrives damaged or wrong?
The cause, sales/agency contracts, delivery-risk allocation and insurance determine responsibility. Record the item and condition, preserve packing and notify the relevant parties promptly. An agent’s claim assistance is not automatically a guarantee to fund replacements or international freight.
