What are the steps to buy furniture from China?

There are nine: check the economics, choose a channel, write a specification, collect quotes, negotiate, sign an order, pay a deposit, inspect before the balance, then ship and receive. Most of the problems overseas buyers describe on Xiaohongshu start when one of these is skipped — usually the written specification or the inspection — rather than at sea.

  1. Check the economics. One armchair rarely justifies international freight; a room or a house often does. Start with whether buying furniture from China is worth it at your budget.
  2. Choose a channel — online sellers, the Foshan malls or factory showrooms.
  3. Write a specification for each item: dimensions, materials by component, finish, fabric or leather code, packing.
  4. Collect two or three quotes against that single specification.
  5. Negotiate materials, quantities and terms, not just a percentage.
  6. Sign an order that attaches drawings, samples and the payment schedule.
  7. Pay a deposit to the supplier’s company account.
  8. Inspect every piece before the balance is paid.
  9. Consolidate, ship and receive, with a plan for anything that arrives damaged.

Should you order furniture from China online, in Foshan or from a factory?

Online suits standard pieces from sellers with a visible track record; custom and high-value pieces are safer ordered against a written specification from a showroom or factory that someone has actually visited. A New Zealand buyer who furnished her second home from Taobao advises choosing sellers with strong reviews and trusting buyers’ own photos over listing images, because a poor piece is very hard to deal with once it is abroad. A US buyer who toured furniture shops and factories in Guangzhou, Chengdu and Foshan reached a different conclusion for anything custom: buying unseen is unrealistic unless someone goes to look, because the shape can match while the colour and finish do not.

The nine steps are not equal. Most of the risk in a cross-border furniture order sits in steps six to eight: what is written down, when money moves, and who looks at the goods before the last payment. A homeowner in Guangzhou can drive back to the showroom; a buyer in Auckland or Toronto cannot, so for an overseas buyer the payment schedule is the quality-control plan. Decide how and when you will pay before you decide what to buy, and shortlist only suppliers who accept that schedule.

How do you get quotes and negotiate furniture prices from China?

Send one written specification to two or three suppliers and compare their quotes line by line; the price moves most when materials, quantities or timing change, not when you haggle. In Foshan’s retail halls haggling is normal: a Guangdong buyer recommends opening 40% below the tag, and a Longjiang maker’s post says most shops in the value halls settle at 60–70% of the ticket. That is retail bargaining. For an export order, two quotes are only comparable when foam density, frame timber, leather grade, finish and packing are written down; otherwise the cheaper quote is often a different product.

What does the comment section add?

The comment threads under these posts add the warnings the authors left out.

  • “Export” is not a quality grade. Under the post about the Dutch TV series, a comment with nearly 300 likes argues that export versions can be worse because after-sales barely exists; a reply adds that some goods sold abroad are designs already dropped in China.
  • Ask for finished projects first. Under a Chinese firm’s launch post for overseas whole-home furnishing, a reader tells them to publish completed cases before expecting anyone to get in touch; most other questions are answered only with a request to move to private messages.
  • Stone breaks. The top comment under the New York buyer’s post reports two marble pieces broken in transit, and a reply describes another that could not be repaired.
  • Living with the wait. Asked whether the house stood empty for five months, the New York buyer says they moved in and used their old furniture until the container arrived.

What should a furniture order with a Chinese supplier include?

At minimum: both companies’ names, a specification schedule for every item, signed drawings, the approved sample, tolerances, the price basis and currency, a payment schedule tied to milestones, delivery dates, an inspection clause, the packing standard, warranty terms and a rule for changes. Chinese homeowners already contract like this for custom cabinetry. The most-saved templates on Xiaohongshu list the carcass, doors and back panels on separate lines with brand, thickness and colour code, and one poster warns that without a written minimum some sellers fit 5 mm back panels where 9 mm was expected.

Under a template with more than 6,000 likes, a commenter reports sending it to a custom-furniture seller, who refunded her deposit rather than sign — a useful measure of what a detailed order filters out. How should you pay a Chinese furniture supplier?

By bank transfer to the company account named on your order, in stages: a deposit to start production and the balance only after inspection. Terms in Foshan vary widely. A buyer who ordered through a shopping guide in 2021 says the factories wanted full payment on ordering, and a Hunan buyer describes a seller who kept her deposit and refused to ship unless she paid the balance, after the leather turned out not to be what she had been sold. Chinese domestic contracts often stage payments instead: the template mentioned above asks for 10% on signing, 40% when boards are ordered, 30% on collection and 20% on acceptance.

How long does ordering furniture from China take, and what does shipping add?

Allow roughly two to five months from order to door, and budget freight, customs clearance, duty and local delivery as a separate block that can come close to the value of the goods on a small order. The New Zealand buyer’s goods were loaded on 10 May, reached port on 29 May and were delivered on 5 June — about two months in all once production is included. Her logistics bill of NZD 2,400 sat against a little over NZD 3,000 of furniture, and she still judged it cheaper than buying locally, where she says one good sofa costs NZD 3,000 or more. A London family ordering from a Foshan maker found most pieces took up to 35 days to make, recommend ordering two months ahead, and still lost a week when their container was held up.

The New York order’s five months included almost four weeks between the last piece reaching the warehouse and sailing, and six weeks at sea. What happens if furniture from China arrives damaged or faulty?

Treat transit damage as an insurance claim and manufacturing faults as a supplier claim, and prepare for both before shipping: insurance, spare parts, and a written window for reporting defects with photos. The New York buyer’s marble coffee table broke on the way; insurance paid out, but as she points out, nobody sends a new one. The New Zealand buyer recommends transit insurance and says the excess was typically around USD 200. Under a post about a Dutch TV series in which two presenters furnish a house from Chinese webshops, one of the most-liked comments argues that export versions are not necessarily better quality, largely because there is almost no after-sales service.

What a Chinese warranty realistically covers abroad, and which spares to pack, is in after-sales for furniture bought in China. The cheapest protection is still upstream: an inspection checklist worked through before the balance is paid.

Can I buy furniture directly from China as an individual?

Yes. Many factories and online sellers accept individual overseas buyers, although some set minimum order values or will only deliver to a forwarder inside China. You then arrange, or pay someone to arrange, export, freight, customs clearance and delivery. Private buyers on Xiaohongshu describe doing this for single homes in New Zealand, the UK and the US.

How long does it take to order furniture from China?

In the first-hand accounts we reviewed, two to five months from order to door. Makers quoted buyers anywhere from 10–15 days to about five weeks for production of showroom designs; consolidation, sailing and customs add the rest. Import-brand and complex custom orders take far longer — one buyer was quoted about eight months.

Is it cheaper to buy furniture from China?

Usually for a room or a whole home, rarely for a single piece. A New Zealand buyer spent NZD 2,400 shipping nearly 8 m³ of furniture that cost a little over NZD 3,000, and still found the total below local prices. Freight, duty and delivery are partly fixed costs, so they weigh heavily on small orders.

What deposit should I pay for furniture from China?

There is no single rule; what matters is that the balance is tied to an inspection. Chinese domestic templates start as low as 10%, and a lawyer’s post notes that Chinese law caps a formal deposit at 20% for domestic contracts. Do I need a sourcing agent to buy furniture from China?

Not always. Buyers who can travel, read Chinese contracts and arrange their own inspection and freight do manage alone. An agent earns its fee when you cannot be there to write the specification, compare quotes and check goods before the balance is paid; ask how the agent is paid and whether it takes supplier commissions.
