A real reviewer needs those records before deciding which items can ship.

Start with the approved specification and inspection scope

Give every piece an item code that also appears on the order, drawing, photographs and packing list. Record the drawing revision, finish sample code and approval date. For furniture with several suppliers, identify the supplier on each item line.

Coverage: quantity ordered, available and inspected, plus how the inspected units were selected. One checked piece cannot establish the condition of an uninspected batch.

Checks: dimensions, accessible materials, finish, assembly, moving parts, agreed stability checks and packing.

Limitations: concealed frames, internal board construction, chemical properties, long-term durability and any other checks not performed.

Acceptance criteria: the agreed tolerance or reference for each check. Do not add an acceptance limit after a result is known.

For custom furniture, request production-stage records before upholstery or finishes conceal the structure. Material photographs can show visible construction; they do not replace a laboratory result where one is required. For a dimension, show the measuring tool and both reference points. For a finish mismatch, include the retained sample in the same lighting. For a drawer or door, include the complete movement rather than only its closed position.

Use stable references such as CAB-01_P-04 and CAB-01_V-01. Retain original files and the first failed result when corrected versions are added. A caption should identify the item, location on the piece, date and what the file demonstrates.

Write not checked when a check was outside the scope, inaccessible or unsupported. Write pending when evidence or a decision is still outstanding. Neither means pass. Compare findings with the approved material description, rather than treating a product label as proof.

Connect defects, rework and reinspection

Agree the defect definitions before inspection. A suspected safety issue should be held and referred for the appropriate technical assessment. Appearance, function and dimensional findings need the severity and acceptance rule agreed for that order.

Log the finding: item code, location, requirement, actual observation, evidence and agreed class.

Record the decision: hold, rework, replace or a specific written exception. Identify who may approve it.

Assign the correction: method, responsible supplier, target date and any cost or schedule change.

Repeat the affected checks: use the same measurement points and acceptance criteria; check for new issues caused by the correction.

Close or keep open: attach the new evidence and reviewer decision. A supplier saying “fixed” does not complete this record.

The report records the condition and decision. If you need an independent inspector, confirm access with the supplier before booking.

Request a written scope showing whether sample production, swatches, courier delivery, inspection visits, laboratory tests, repeat visits and packing checks are included or separately quoted.
